Form W-9, Request for Taxpayer Identification Number and Certification, is an IRS document used to give your Taxpayer Identification Number (TIN) to a person or business that will pay you. It's most often requested from freelancers, independent contractors and vendors.
The payer uses the information on your W-9 to report what they paid you to the IRS — typically on a Form 1099 at the end of the year. The current version is the one marked Rev. March 2024, and it's the template loaded here.
Filling out a W-9 is essential for accurate tax documentation. Here's what it does:
You'll need a handful of details. The form walks you through them in order:
The whole thing takes about two minutes in our editor:
Your name on line 1 must match the TIN you enter, or the payer may be required to apply backup withholding.
Form W-9 is primarily filled out by freelancers, independent contractors and vendors who provide a Taxpayer Identification Number to the businesses that pay them. Banks and financial institutions also request a W-9 to report interest, dividends and other income.
If someone is paying you for work and isn't your regular employer, they'll usually ask you to complete one before they can pay you.
You generally don't need a W-9 if you're a regular employee — your employer collects a W-4 instead. Non-U.S. persons working outside the United States typically file a Form W-8 rather than a W-9. Minors or beneficiaries not authorized to manage an entity are usually exempt as well.
There's no fixed IRS deadline. A W-9 is due whenever the person or business paying you requests it — and they need it before they can pay you or issue your 1099. The sooner you return it, the sooner you get paid, so most people send it when they start working with someone new.
Right here. CosmicPDF loads the official IRS W-9 template (Rev. March 2024), ready to fill out — no hunting around on government websites or wrestling with downloads. You can also fill it out now and save your progress, then come back to finish later.
Once you've filled everything out, click the signature field in Part II. You can type, draw, or upload your signature — our e-signature tool makes it legally valid and secure under the U.S. ESIGN Act. Add the date, and your finished copy is ready to download.
Send it directly to whoever asked for it — your client, the company hiring you, or your bank. Do not send Form W-9 to the IRS. The requester keeps it on file and uses it to prepare your information return. Just double-check that everything is accurate before you send it.
My agency asked for a W-9 before they could onboard me. Filled it out, signed it and sent it back in maybe three minutes. Way easier than printing and scanning.
I kept finding old W-9s online. This one is the March 2024 revision, exactly what my bank wanted. The fields lined up perfectly and the PDF looked clean.
Got the request while I was out for a delivery shift. Tapped through the fields, signed with my finger and emailed it from the parking lot. No app, no computer.
Everything about filling out, signing and sending your W-9.
