What is a W-9 form?

Form W-9, Request for Taxpayer Identification Number and Certification, is an IRS document used to give your Taxpayer Identification Number (TIN) to a person or business that will pay you. It's most often requested from freelancers, independent contractors and vendors.

The payer uses the information on your W-9 to report what they paid you to the IRS — typically on a Form 1099 at the end of the year. The current version is the one marked Rev. March 2024, and it's the template loaded here.

What is a W-9 form used for?

Filling out a W-9 is essential for accurate tax documentation. Here's what it does:

  • Provides your Taxpayer Identification Number to the entities that pay you.
  • Certifies your U.S. person status for tax purposes.
  • Confirms whether you're exempt from backup withholding — without it, a payer may withhold 24% of your payment.

What information is required on a W-9?

You'll need a handful of details. The form walks you through them in order:

  • Name — your full legal name as it appears on your federal tax return.
  • Business name (DBA) — only if it differs from your legal name.
  • Federal tax classification — individual/sole proprietor, C corp, S corp, partnership, trust/estate, or LLC.
  • Exemptions — exempt payee and FATCA codes, which apply only to certain entities.
  • Address — where the payer should send your information return (the 1099).
  • Taxpayer Identification Number — your SSN (individuals) or EIN (businesses).
  • Certification & signature — your confirmation, under penalty of perjury, that the information is correct.

How to fill out Form W-9

Who needs to fill out a W-9?

Form W-9 is primarily filled out by freelancers, independent contractors and vendors who provide a Taxpayer Identification Number to the businesses that pay them. Banks and financial institutions also request a W-9 to report interest, dividends and other income.

If someone is paying you for work and isn't your regular employer, they'll usually ask you to complete one before they can pay you.

When is a W-9 not required?

You generally don't need a W-9 if you're a regular employee — your employer collects a W-4 instead. Non-U.S. persons working outside the United States typically file a Form W-8 rather than a W-9. Minors or beneficiaries not authorized to manage an entity are usually exempt as well.

When is a W-9 form due?

There's no fixed IRS deadline. A W-9 is due whenever the person or business paying you requests it — and they need it before they can pay you or issue your 1099. The sooner you return it, the sooner you get paid, so most people send it when they start working with someone new.
